Legal Intake and Administrative Specialist

You will greet veteran clients and help our Legal Administrator keep files and information organized. You will spend a lot of your day on the phone and in computer systems. You will do well here if you like clear steps, steady work, and getting details right.

What you will do

Client intake and communication

• Answer inbound calls, emails, and web inquiries
• Ask intake questions and gather the right details
• Keep calls moving with polite redirection and clear next steps
• Write clear notes and summaries after each contact

Administrative support

• Enter and update client information in our systems
• Help prepare documents and support special projects
• Keep records accurate, organized, and up to date

Technology and workflow

• Work confidently in Windows and web-based software
• Switch between tools and tasks throughout the day
• Stay accurate during busy times

Who we are looking for

Must have

• Strong phone skills. You keep conversations focused and professional
• Strong attention to detail. You produce accurate work consistently
• Reliability and follow through. You work independently and finish tasks
• Solid computer skills. You learn new software without step-by-step coaching
• 1 or more years of customer service experience. Law firm or professional services helps
• At least 6 months of experience with:
  • Microsoft Office
  • Gmail and Google Calendar
  • Zoom
  • Adobe Acrobat

Nice to have

• Experience with Clio Grow or another CRM
• Familiarity with medical terms or healthcare documents
• Strong writing skills for notes and summaries
• Comfortable juggling multiple tasks while staying accurate

Physical requirements

• Seated desk work for extended periods
• Frequent computer and standard office equipment use
